What is Interlibrary Loan (ILL)?

Interlibrary Loan is a service that gives current Evergreen students, faculty, and staff the ability to obtain materials that are not available in the Evergreen library collection or through SUMMIT libraries. Books, copies of periodical articles, and other items needed for research may be borrowed from other libraries. Alumni and community borrowers are not eligible for this service, and should request materials through their public library.

Evergreen users: The Evergreen Interlibrary Loan (ILL) users must register for both library and ILLiad accounts in order to request ILL items. Also if you already have a library account, make sure you don't have overdue items and outstanding fines. You will not be able to use ILLiad until your library account is cleared.

What is ILLiad?

ILLiad is the web-based user interface for requesting interlibrary loan services. Each user has a username and a password used to access his or her account. Usernames are unique within ILLiad and cannot be repeated. To start using ILLiad, each user must register with the system. After the initial registration, only a username and password are needed to access the system. Users can submit and review requests, change their profiles, renew items, and receive electronically delivered documents.

How do I register for an ILLiad account?

  • From the Evergreen Library home page, click on Login to your ILLiad Account, click on First time users, and then follow the instructions on the ILLiad registration form.
  • During registration, you will be asked choose a Username and Password.
  • When creating your username and password, remember that they are both case-sensitive and can't contain spaces.
  • Enter them the same way each time you log into your ILLiad account.


Important Tips

  • Please input all required user information completely and please do not abbreviate any information.
  • Once you register, you won't need to do it again. But please update your e-mail address, phone number and home address when you change or move as soon as possible.

How do I submit a request?

  • Please check both the Evergreen library and the SUMMIT library catalog before submitting a request to ILL.
  • Logon to your ILLiad account and follow the instructions. ILLiad is a user-friendly system, but if you have any questions or run into trouble, please contact Miko Francis at 867-6499, 8:00-4:30 Monday-Friday, or send an email.

How much does ILL cost?

We don't pass on any fees or costs to our users. However a study done by The Association of Research Libraries showed that the average cost per ILL request (materials, postage, on-line time, labor, etc.) could often cost in excess of $20.00 per request. We want to be able to keep providing this service for free, so select the materials you request carefully. You may request up to 75 items per Quarter. The Washington State Institute of Public Policy staff or any other Research Institute's staff may request more than 75 items, but the Institute will be billed to cover the expense.

How long will it take?

The time it takes to receive requested materials generally depends on the lending library. Please use this as a guideline when you are planning your research. If the material is needed by a specific deadline, please indicate this on the request form. ILL staff will try to meet your deadline.

Average transit times:

  • Books and other loans: 10 to 20 working days
  • Photocopies: 2 to 15 working days

How will I be notified when my request arrives?

We will notify you by e-mail or phone (as specified in your ILLiad profile) when material has arrived. Please pick up loans at the Evergreen Circulation Desk.


What library materials can I request?

Most tangible library materials are available for interlibrary loan requests. These include books, journal articles, and so on.

Please remember the following types of materials may be difficult to obtain through ILL.

  • Program books/Text books
  • Reference collections (dictionaries, encyclopedias, etc.)
  • Books not yet in print, in press, or published in the last 6 months.
  • Pamphlets and other ephemeral materials
  • Films/Videos and Audio recordings/CD-ROMS
  • Genealogical materials

Can I have document delivered electronically?

If you wish to receive journal articles electronically, please do the following:

  • When you register for ILLiad, choose "yes" for Electronic Delivery in your profile.

We will notify you by e-mail as soon as it is available for you to view or download through your ILLiad account. These documents are retained on the ILLiad server for 30 days then will be deleted by the system.

Do copyright restrictions affect ILL requests?

The Copyright Law of the United States (Title 17, United States Code) governs the making of photocopies or other reproductions of copyrighted material. Under certain conditions specified in the law, libraries and archives are authorized to furnish a photocopy or other reproduction. One of these specified conditions is that the photocopy or reproduction is not to be "used for any purpose other than private study, scholarship, or research." If a user makes a request for, or later uses, a photocopy or reproduction for purposes in excess of "fair use", that user may be liable for copyright infringement. This institution reserves the right to refuse to accept a copying order if, in its judgment, fulfillment of the order would involve violation of copyright law.

What about renewals and overdues?

Borrowers are responsible for the timely return of all loaned materials to the Evergreen Library Circulation Desk. If loaned items are not returned on time, you will receive three overdue notices. When an item is not returned within 15 days, you will be blocked from making additional ILL requests as well as from checking out Evergreen library materials.

Renewals of checked out materials can be requested once through your ILLiad account. Use the "View and Renew Checked-Out Items" button on the main menu. It renews your loan for 14 days while the ILL office requests a new due date from the lending library. If the lender does not grant our renewal request, we will contact you, and then you must immediately return the item.

  • Fines for ILL books
  • You will be billed for lost and damaged ILL materials, at the same amount as we are billed by the lending library. Failure to pay for loss or damage will result in blocking your Library and ILLiad accounts until you clear your library record. Please contact the ILL Office to reactivate your ILLiad account.
